Waivers & E-Signatures
Target Score can collect your club's waiver from every entrant electronically. You build the waiver from your own PDF, attach it to an event, and each entrant is emailed a link to sign it. The signed copy comes back sealed, with a separate audit trail, and both are kept with the entry.
Where to Find It
- Manage Club > Waivers: build waivers, choose who signs them, and browse everything sent and signed.
- Edit Event, section Waivers: attach a waiver to the event and see how many signatures it has used.
- Participants: a document icon beside each entrant shows where their waiver stands.
Waivers are included with every plan; the limits depend on it, see Plan limits.
Create a Waiver
- Open Manage Club > Waivers and click Create waiver.
- The Waiver builder opens. Upload your PDF and place the fields the signer completes. The entrant's name and the event dates can be filled in for them automatically.
- Publish the waiver in the builder. It appears in your list at once.
For each waiver you then choose Who signs: Every entrant, Members only or Non-members only. The member options use your Team Up Mate membership list; until Team Up Mate is connected such a waiver is not sent and a warning is shown beside it. The On / Off switch stops a waiver being sent without detaching it from events.
Edit, Clone and Archive sit beside each waiver; click its name to open Submissions, everyone it was sent to.
Attach It to an Event
Open the event in Edit Event and find the Waivers section (a new event must be saved first).
- Pick a waiver under Attach a waiver and click Attach. New entries are sent it automatically; if entrants are already in, you are asked whether to send it to them too.
- Required marks a waiver the entry must have signed; the participants list uses it for the entry's status.
- Send to existing entrants covers anyone already in the event; Email to an address sends it to one person by name and email.
- Public link gives one link anyone can use to sign for this event, for walk-ups and guests. You can cap its signatures, which count against the event's allowance.
- Detach stops new entries being sent it. Waivers already sent, and signed copies, are kept.
Email waiver links to entrants, above the panel, controls the emails for this event. Leave it on and the signing service emails each entrant their link, with reminders while it is unsigned. Turn it off to hand out the links yourself: waivers are still created, and you copy each link from the participants list.
When the Link Is Sent
A waiver goes out when an entry becomes pending or approved: on registration, when an entrant is accepted from the waitlist, or when you change their status. Entries paying by Stripe are sent theirs only after the payment succeeds. An entrant who did not get the email can sign from their own entry page, where a Sign waiver button waits for them.
When an entry is withdrawn, cancelled, rejected or refunded, its unsigned waivers are voided and the link stops working. Signed waivers are always kept. Nothing is sent once the event has ended, and a link expires at the end of the event's last day.
See Who Has Signed
On Participants the icon is green when every required waiver is signed, amber while sent or opened, grey while on its way, and red when something needs attention. The Waiver column, included in the export, reads Signed, Opened, Sent, Sending, Retrying or Needs attention.
Click a green icon to download the signed copy. Click any other for each waiver's timeline (sent, opened, signed) and the actions Resend, Copy link, or Send now after a decline or a failed send.
The entry page lists the same waivers with Download signed waiver and, from the menu beside it, the Audit trail or Waiver and audit trail (one PDF). The entrant has the same downloads.
Not emailed beside a waiver means the entrant unsubscribed from your waiver emails, or their address bounced or marked them as spam. They can still sign from their entry page, or you copy the link and send it yourself.
Signed Copies by Email
Under Manage Club > Waivers > Settings, Email entrants a copy of their signed waiver is off by default. Switch it on and each entrant is emailed the signed waiver and its audit trail as PDF attachments once sealed. Otherwise they download it after signing or from their entry page.
Archive and Delete
Submissions (a waiver's name, or the Submissions button for the whole club) lets you Resend a link, Void an unsigned waiver (its signature returns to the event's allowance; a signed one cannot be voided), Archive a submission, and Download signed waivers (ZIP): every signed copy with its audit trail in one file, from a link that works for five minutes.
Deleting is a two-step act:
- Archive first. An archived waiver is no longer sent and sits under Archived waivers at the bottom of the page, where it can be restored (it comes back switched off), downloaded as a ZIP, or deleted.
- Delete permanently: one submission, Delete all archived, or an archived waiver with everything ever sent from it. You choose a reason and type DELETE; the dialog says how many signed waivers are involved and offers the ZIP first.
Deleted documents become inaccessible at once and are erased for good after 72 hours. A daily limit on deletions guards against mistakes; anything over today's allowance waits for another day. Only the club's owners and managers can delete, and not while signed in as someone else.
Signed waivers are your club's evidence if someone makes a claim, often years after an event. Download the ZIP before deleting. If a deletion was a mistake, contact us within the 72 hours; after that nothing can be recovered.
Things to Know
- An entry that was sent a waiver cannot be deleted, nor can an event whose entrants were. Withdraw the entry instead (unsigned waivers are cancelled, signed ones kept) or hide the event.
- A waiver counts towards your plan once published and until archived; drafts are free.
Plan Limits
| Free | Pro | Unlimited | |
|---|---|---|---|
| Signatures per event | 10 | 200 | No limit |
| Waivers in use | 1 | 10 | 50 |
Your limits are shown at the top of Manage Club > Waivers, and each event shows its signatures used. When an event runs out, new waivers are held as Needs attention until you upgrade and press Send now. See Plans & Billing.
