Add-Ons
Add-Ons are the extras a shooter can buy while they register: a club t-shirt, a banquet ticket, a boxed lunch. Each one has its own price, its own quantity limit and its own line on the invoice, so it is itemised in Accounting and never mixed into the entry fee. Entry fees themselves come from Pricing Tiers.
Find them under Event Dashboard > Add-Ons. Drag the handle on the left of a row to change the order shooters see them in, and use the Active tick to take one off the form without deleting what has already been bought.
Creating an Add-On
Add Add-On asks for:
- Name and an optional Description, both shown on the entry form.
- Price. A $0.00 add-on is fine: it is how you collect a lunch choice or a banquet seat that is already included.
- Allow multiple, and the Max quantity per participant it reveals. Left off, a shooter can buy one.
- Total capacity, optional. Leave it empty for unlimited stock. With a number, the form shows how many are left and stops taking orders at zero. Entries that withdraw or are cancelled release their stock.
- Applicable Taxes, the same club taxes your price tiers use. None ticked means the item is not taxable.
Asking for a Size or a Name
Some add-ons need more than a quantity. A t-shirt needs a size; an engraved plaque needs the name to engrave. That is what Options are for.
Add one with Add option and give it a name such as Size. Then pick how it is answered:
- Choice list — you type the values, one at a time, and the shooter picks one. Press Enter after each. This is the right answer for sizes: you get a clean tally instead of a column of medium, M and Med.
- Short text — the shooter types up to 60 characters, for a name on a shirt.
Tick Required if the entry cannot be submitted without it. An add-on can carry up to five options.
Each option is asked once per item bought. A shooter taking two shirts gets two size pickers, so one can be an M and the other an L.
Options never change the price. Every size of the shirt costs the same, and stock is counted for the add-on as a whole. If you need to charge more for XXL, make it a second add-on.
Changing Options Later
You can edit options at any time, and nothing a shooter has already answered is lost:
| You do this | What happens |
|---|---|
| Rename an option | Everything already answered stays, under the new name. |
| Remove a choice | Nobody can pick it any more. The ones already sold still count in your tally, so you still order them. |
| Remove an option | It disappears from the form. The answers already given stay in the export. |
| Add a required option | Entries bought before it show as No answer. The shooter is asked for it the next time they edit their entry. |
Seeing What Was Ordered
Once something has sold, the add-on's row on the Add-Ons page shows the tally you place your supplier order from, for example Size: S 0 · M 12 · L 8 · No answer 2. No answer counts the items bought before you added the option, or left blank by an organiser.
Export orders downloads a spreadsheet with one row per item: the shooter's name, entry number, email, status and their answers. That is the list to work from at the handout table. Withdrawn and cancelled entries are left out, so the totals match what you owe.
Each shooter's choices are also on the Participants page: a Price tier column and an Add-ons column, for example Club T-Shirt × 2 (#1 Size: M; #2 Size: L). Both columns are searchable, can be hidden from Columns, and are included in the participants CSV export. They only appear once some entry has a tier or an add-on.
Answers also appear on the entry itself, on the invoice or receipt under the add-on's line, in the confirmation email the shooter receives, and in the email you receive when someone registers (if the event's notification setting sends it to you).
Fixing a Wrong Size
Open the entry from Manage Participants and change the answer. This works even after the shooter has paid: a size is not a price, so changing it does not reissue the invoice. What was bought — which add-ons and how many — is locked once a payment is recorded, and changing that still means voiding the payment first.
Things to Know
- Add-ons are not offered when someone joins a waitlist. Nothing is booked until they are given a place, and they can add extras when they accept.
- A comp entry (an organiser adding someone with no payment method) charges nothing and books no add-ons.
- An add-on that has been bought cannot be deleted. Untick Active instead: it leaves the entry form and keeps every record intact.
- Cloning an event brings the add-ons and their options with it. Nothing anyone ordered is copied.
