Accounting & Invoices
Every registration creates an order, the participant's invoice, the moment the entry is submitted. It snapshots the price tier, add-ons, taxes and any processing fee and never changes afterwards; payments, refunds and credit notes are recorded against it. The Accounting page shows what was sold, what has come in, and who still owes.
Where to Find It
- Event Dashboard: select your event, then open Accounting in the Event Setup section.
- Manage Event > List of Participants: the Payment Status column opens the same order drawer described below.
What You See
Summary tiles: Gross (all open invoices), Collected (payments minus refunds), Outstanding (balances due), Tax (your tax liability) and Net (collected minus tax minus the processing fees your club absorbed). Net carries an asterisk while any Stripe fee is still an estimate; the exact fee arrives once Stripe settles.
Breakdown: tabs for By price tier, By add-on and Tax. A tier whose amount was edited mid-event shows a warning icon; see Pricing Tiers.
Orders: one row per invoice with Invoice #, participant, Total, Balance due, Payment status and Gateway (Stripe, Offline, or External for entries made with no gateway). Filter by status, search, or Export CSV.

| Overpaid | More received than the total; the excess shows as a credit. |

| Void | The invoice was cancelled, for example an unpaid entry that withdrew. |
An order settled entirely by a credit note also shows Complimentary, so a sponsored entry is not mistaken for cash.
The Order Drawer
Click View on a row. The drawer shows the invoice (line items with taxes, Subtotal, Taxes, Processing fee, Total, Amount received, Credit, Balance due) and the Payment history: payments with receipt numbers, dates and notes, credit and debit notes, and voided rows struck through. Along the top: Record payment, Apply credit / debit, Refund via Stripe (only when a Stripe payment exists), Email invoice (only when the participant has an email address) and Open invoice.
Step by Step
Record a cash or e-transfer payment
- Open the order and click Record payment.
- The Amount defaults to the balance due; change it for a part payment.
- Set the Date the money arrived (backdating is fine) and a Note such as e-transfer ref 8842.
- Click Save. A receipt number is assigned.
An amount above the balance warns that the order will be Overpaid. If the payment settles the invoice and the participant is still Pending, you are asked whether to approve them; a part payment never approves anyone. For a refund made outside Stripe, switch the same dialog to Refund.
Refund through Stripe
Click Refund via Stripe. The amount defaults to what is still refundable; reduce it for a partial refund, pick a reason and click Refund. It appears in the history once Stripe processes it, as do refunds issued from the Stripe dashboard itself.
Sponsor an entry, write off a difference, or absorb an overpayment
Click Apply credit / debit. A Credit reduces the balance without money changing hands; it defaults to the full balance, the one-click way to make an entry complimentary (Sponsored entry). Use Discount or Write-off for shortfalls; a credit can never exceed the balance. A Debit raises the amount owed, for example Overpayment absorbed when a participant lets you keep the extra. Write-offs, corrections and Other need a note.
Fix a mistake
Nothing is deleted. Use the void icon on an offline payment or a credit or debit note; it stays in the list, struck through. Stripe payments cannot be voided by hand.
Email the invoice
Click Email invoice. The participant receives the total, the balance due and a View Invoice button; once paid, the same email reads Receipt.
Invoice and Receipt Numbers
Numbers run per club and per document type; the year is the year of issue:

A voided invoice keeps its number; nothing is renumbered.
What the Participant Receives
The registration confirmation email carries a Complete payment button when money is due and a View invoice link (View receipt once paid); the confirmation after a card payment links the receipt too. Signed-in participants also find every order under My orders, see Your Orders & Invoices.
The link opens a public page at https://targetscore.com/invoice/.... No login is needed; the unguessable address is the key, so share it only with the participant. It is headed Invoice while a balance is due and Receipt once paid.
The invoice is a web page, not a PDF attachment. Download / Print opens the browser's print dialog, which can save it as PDF.
Events Without a Payment Gateway
If you publish a priced event with no gateway, you confirm once and shooters register without paying on Target Score. Their invoices show External as the gateway and start Unpaid. Record the money you collect with Record payment, or ignore the page; nothing else depends on it.
Things to Know
- Payment status and entry status are separate. Approving or withdrawing a participant moves no money, and recording money approves nobody unless you say yes to the prompt.
- Withdrawing an unpaid entry voids its invoice. A paid entry that withdraws stays open with a refund request flagged; an order with money on it cannot be voided, so refund first.
- Changing a price tier does not change existing invoices. If a participant changes their tier, add-ons or payment method before paying, the old invoice is voided and a new one issued (see Previous invoices in the drawer). Once a payment is recorded, tier and add-ons are locked.
