Import Participants
When you already have a list of entrants — from paper forms, an email inbox or another system — you can bring them into an event in one go instead of adding them one at a time.
This page is located under Manage Event > Import Participants. You can also reach it from the Import link on Manage Participants and the Import participants button on Add Participant.
Steps to import participants
-
Select an Event: Choose an event from the blue Select Event section above.
-
Download the template: Click Download template. Its columns follow the event's entry form: first name, last name and email, then division, classification and every other question on the form. The Instructions sheet lists what each column accepts — for example the event's divisions, spelled the way Target Score knows them, and age categories with their codes, such as Junior (JR). Either the name or the code works in a cell.
-
Fill it in: One row per participant. Only the first and last name are required; leave anything you don't know blank and fill it in later from Manage Participants.
- Several values in one cell (divisions, categories): separate them with a semicolon, e.g.
Open; F-Class. - Dates: type them as
YYYY-MM-DD, e.g.2026-05-31. - Yes/no questions:
YesorNo.
- Several values in one cell (divisions, categories): separate them with a semicolon, e.g.
-
Upload it: Drop the file on the page. CSV, XLS and XLSX files work, up to 500 participants per file.
-
Check the profiles (see below), choose how the entries are paid and whether to email the participants, then click Import.
You don't have to copy it into the template. Upload it as it is: columns with familiar headers (First name, Surname, E-mail, Class…) are recognised, and Adjust columns lets you say which column holds which field. Columns Target Score doesn't use are listed and ignored.
Values the event doesn't have
If your file uses a value the event doesn't have — a classification code from another system, a division the event doesn't run, two values in a column that takes one — the page lists each value once, with how many rows use it. Choose what it means: one of the club's values, or Leave blank to import those participants without it. One answer fixes every row using that value; rows wait until you answer.
Your answers are remembered for the club in this browser, so the next file with the same codes maps itself.
A classification cell names one classification. When a row enters several divisions, each division gets the classification of that name it offers — so "Master" lands on Target Rifle's Master and F-Class's Master. A division that offers no classification of that name gets none, and a name that none of the row's divisions offers keeps the row out until you fix it.
Checking the profiles
Before anything is imported, every row shows the athlete profile it will use:
- Existing profile — Target Score found the athlete, either by email or, for a row without an email, by an exact first and last name that only one athlete has. People who have entered your club's events before are looked at first.
- New, with email — no athlete has that email address, so a new profile will be created with it.
- New, no email — no unique match was found. These rows are highlighted: they are where duplicate profiles come from.
- Skipped — the athlete is already entered in this event, the email is not valid, or two rows point at the same profile.
A second profile for the same person splits their results, analytics and history in two. If you know a participant is already on Target Score, click Select existing and pick their profile — search by name or by their full email address. When several athletes share a name, Target Score shows them as suggestions with their last event at your club, so you can pick the right one in one click.
You can also turn a name match into a New profile instead if it found the wrong person, and Undo any change.
Payment and emails
- Payment: choose No charge (comp entry) or one of the event's offline payment methods, for the whole file. With an offline method, entries are priced like a hand-made entry — the Price option column picks the price option, and a blank cell uses the default one. Card payments can't be used for an import.
- Emails: confirmation emails are not sent unless you tick Email each participant their confirmation.
Whatever you choose here, if the event has a waiver it is still sent to the imported participants (and counts towards your plan's waiver allowance), and participants who use the app still get a notification that they are entered.
After importing
You see how many participants were added, how many new profiles were created, and a list of the rows that were not added with the reason. Other problems in the file — a date in the wrong format, an email that isn't an address — are listed as soon as you upload, with their row number, so you can fix the file and upload it again. Participants who are already entered are skipped, so uploading the same file twice never creates duplicate entries.
If the connection drops part-way through, click Retry: nothing is lost or entered twice.
Things to know
- Imported entries are ordinary organizer entries. They behave exactly like entries made on Add Participant: a full event or closed entries don't block them, and they get entry numbers in the order of your file.
- Add-ons and range time slots are not part of the import. Add them to an entry afterwards from Manage Participants.
